Who we are

Quantum AI Strategy Group LLC (“QAISG,” “we,” “us,” or “our”) develops software platforms and provides advisory and professional services focused on artificial intelligence governance, cybersecurity, technology strategy, compliance, and emerging technologies.

This Privacy Notice describes how QAISG collects, uses, protects, retains, and discloses information through our websites, software platforms, hosted services, demonstrations, pilot programs, and related business activities.

Individual QAISG products or services may provide additional privacy disclosures where their data practices differ from or supplement this notice.

Our role

QAISG may process information in different capacities depending on the service being provided.

When a customer organization uses a QAISG platform to process information relating to its workforce, systems, or business activities, the customer generally determines the purposes and means of that processing and acts as the data controller or equivalent responsible party. QAISG acts as a data processor or service provider and processes that information according to the customer’s documented instructions and applicable contractual requirements.

For information collected directly by QAISG through our corporate website, business communications, demonstrations, account administration, and similar activities, QAISG may act as the data controller or business responsible for that information.

Information we may collect

The information QAISG processes depends on the product, service, or interaction involved and may include:

• Business contact information, such as name, company, job title, email address, and telephone number.
• Account and authentication information required to provide access to QAISG services.
• Technical and operational metadata generated through use of our platforms.
• Device, browser, system, application, or service identifiers where required to provide product functionality.
• Configuration, governance, compliance, risk, or security information submitted by customers or generated through use of our services.
• Usage information relating to how customers interact with QAISG applications and services.
• Information submitted through demo requests, pilot requests, support requests, contact forms, or other communications with QAISG.

QAISG designs its products around data minimization principles and seeks to collect only information reasonably necessary to provide the applicable service.

Where a QAISG product is specifically designed to collect metadata rather than underlying content, additional product documentation describes those limitations and controls.

How we use information

QAISG may process information to:

• Provide, operate, secure, and maintain our products and services.
• Authenticate users and administer customer accounts.
• Deliver requested demonstrations, pilots, professional services, and customer support.
• Provide governance, compliance, security, reporting, analytics, and related functionality.
• Detect misuse, security events, technical problems, or threats to our systems.
• Improve the reliability and usability of our products and services.
• Communicate with customers and prospective customers regarding services they have requested or expressed an interest in.
• Meet contractual, legal, regulatory, security, and compliance obligations.
• Maintain appropriate business, audit, and operational records.

When QAISG acts as a processor or service provider, the purposes of processing are determined by the applicable customer organization and its agreement with QAISG.

Data minimization and responsible AI use

QAISG applies data-minimization principles to the design and operation of its platforms.

Where artificial intelligence or machine-learning capabilities are used within a QAISG service, their use is governed by the applicable product architecture, customer configuration, contractual requirements, and privacy and security controls.

Customer information is not used to train publicly available artificial-intelligence models unless expressly disclosed and authorized.

Product-specific documentation may provide additional details regarding AI-assisted features and the information made available to those features.

Customer and tenant isolation

Customer information maintained within QAISG hosted platforms is logically isolated by customer or tenant.

Information belonging to one customer is not used to populate another customer’s environment.

Where products maintain shared catalogs, reference information, threat intelligence, industry data, or similar common datasets, customer-confidential information and assets designated as tenant-specific or sovereign are not intentionally incorporated into shared datasets unless authorized by the customer.

Data retention

QAISG retains information for only as long as reasonably necessary for the purpose for which it was collected, subject to contractual commitments, legal obligations, security requirements, and applicable product-specific retention schedules.

Operational retention periods may vary by product and data type.

Certain QAISG products use defined operational retention windows for dashboards, investigations, analytics, reporting, and governance functions. Customers may also export information to their own logging, security information and event management (SIEM), archival, or records-management systems, where the customer’s retention and legal-hold policies apply.

Following termination of a customer relationship, completion of a pilot, or expiration of an applicable retention period, customer information is deleted or destroyed in accordance with QAISG’s documented data lifecycle and contractual requirements. Where applicable, certification of destruction may be available upon request.

Privacy controls and individual rights

QAISG supports privacy and governance controls appropriate to the services we provide and the jurisdictions in which our customers operate.

Depending on applicable law, individuals may have rights relating to access, correction, deletion, restriction, objection, portability, or other processing of their personal information.

For information processed by QAISG on behalf of a customer organization, requests concerning individual rights should normally be directed to that organization. QAISG will reasonably assist customers in responding to valid requests in accordance with applicable law and contractual obligations.

Our website and analytics

QAISG may collect limited information regarding use of its public websites in order to understand site performance, improve content, respond to inquiries, prevent abuse, and understand how visitors discover our services.

Where QAISG operates first-party analytics, those analytics are designed to minimize collection of personal information. Depending on the implementation, information may include page views, interactions with website content, referring websites, campaign parameters such as UTM tags, and randomly generated session or pseudonymous browser identifiers.

Where configured, IP addresses may be used transiently for security, abuse prevention, or approximate technical processing without being retained as directly identifying analytics records.

QAISG does not intentionally link ordinary website analytics with workforce monitoring or customer telemetry collected through QAISG customer platforms.

Where supported by the applicable website implementation, recognized privacy preference signals such as Global Privacy Control may be honored.

Demo, pilot, and contact requests

When you request information, schedule a demonstration, participate in a pilot, or contact QAISG, we may collect the information you provide in order to respond to your request and manage the resulting business relationship.

This may include your name, organization, business contact information, areas of interest, and information you voluntarily provide regarding your organization’s requirements.

We may also retain relevant referral or campaign information to understand how organizations discover QAISG and which materials are useful to prospective customers.

Service providers and sub-processors

QAISG uses a limited number of service providers and sub-processors to operate its business and deliver its products and services.

Depending on the applicable QAISG service, these providers may support functions such as:

• Cloud application and database hosting.
• Network security, content delivery, and DDoS protection.
• Transactional communications and email delivery.
• Authentication and identity services.
• Artificial-intelligence-assisted functionality.
• Application monitoring, security, and operational support.

Sub-processors are given access only to information reasonably necessary to provide their services and are subject to appropriate contractual, privacy, and security requirements.

The specific providers used may vary by QAISG product. A current list of applicable sub-processors is available from QAISG upon request or through applicable product documentation.

Information security

QAISG maintains administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, loss, or misuse.

Security controls are selected based on the nature of the information being processed, the services being provided, and the associated risks.

No information system can be guaranteed to be completely secure, but QAISG continually evaluates and improves its security practices as its products and services evolve.

International processing

QAISG and its service providers may process information in jurisdictions different from the location of a customer or individual.

Where required, QAISG uses appropriate contractual, technical, organizational, or other safeguards for international transfers of personal information.

Product-specific hosting locations, data residency commitments, or sovereign-data requirements may be defined separately in customer agreements or product documentation.

Children’s privacy

QAISG’s corporate services are designed primarily for businesses, institutions, and other organizations and are not directed toward children.

QAISG does not knowingly collect personal information directly from children through its corporate website for marketing purposes.

Where a customer uses a QAISG product in an educational or other environment involving minors, the customer is responsible for determining the appropriate lawful basis, authorization, notice, and configuration requirements, and QAISG processes information according to the customer’s instructions and applicable contractual requirements.

Changes to this notice

We may update this Privacy Notice periodically as our business, products, technologies, or legal obligations evolve.

Material changes will be reflected in the “Last updated” date above and, where appropriate, communicated to affected customers or account administrators.

Product-specific privacy documentation may also be updated independently when functionality or data-processing practices associated with a particular service change.
